I hear this a lot. The venue is providing a coordinator to handle all of the details, why should I hire a Day of Coordinator? Unfortunately, the venue coordinator is looking out for the venue’s best interest, managing their employees and vendors, not looking out for you and managing your vendors.
Please don’t misunderstand, we love venue coordinators. They will make sure that the tables and chairs are set, the linens are there (if they provide them), and that the catering is ready (if they’re providing it), the venue is cleaned and ready to go. A lot of times the venue coordinator stays until the meal has been served, some stay through the cake cutting.
A Day of Coordinator hired by you for your event is loyal to you and no one else, and they will make sure that your event goes as you planned. They’re your advocate so you can relax and enjoy your event. They are by your side throughout the entire event, and make sure that your gifts and personal belongings are loaded up at the end of the evening.
Among other things, the venue coordinator will not doing any of the following:
- Preparing a timeline for the important members of the event
- Manage the rehearsal (unless it is the same location)
- Assist when there are issues with the gowns or tuxes
- Have important music queued in case the DJ is late
- Set up the handmade favors, menus, guest book, etc. on the appropriate tables
- Repair items that possibly didn’t make it to the venue in tact
- Assist with loading up at the end of the evening
Again, this is not meant as a disparagement towards Venue Coordinators. We really do love working with them. They do what they’re paid to do very well, and that’s managing the venue. As Wedding Coordinators, we wouldn’t want to have to be in charge of the banquet staff and venue. That would take time away from our main focus - which is you!
